How Many Tables and Chairs Do You Need for 100 Guests?

Short answer: for 100 guests seated at the same time you need 10 round tables (10 per table) or 14 to 17 rectangular 3×6 ft tables (6 to 7 per table), plus about 10% spare chairs. For an open house where guests come and go, chairs for half the guest list is usually enough.

How do you calculate chairs for an event?

Start with how many people will be sitting at once. That number drives the rental, not the number of invitations.

• Dinners, akad nikah, company functions: everyone sits together. Chairs = guests + 10%.
• Weddings and open houses: guests arrive in waves over 3 to 4 hours. Chairs = 40% to 60% of the guest list.
• Talks, launches and ceremonies in rows: one chair per guest, no tables, plus a few cocktail tables at the back.

Round tables or rectangular tables?

Round tables suit sit-down dinners because everyone can talk across the table. A standard round table seats 10. Rectangular 3×6 ft tables save space, line up neatly under a 20×20 canopy and seat 6 comfortably or 8 at a squeeze. They also double as buffet tables with a cloth and skirting.

Don’t forget buffet tables and walkways

For 100 guests, plan 3 to 4 buffet tables (3×6 ft, with cloth and skirting) under their own canopy so the queue doesn’t block seating. Leave at least 4 ft between rows of tables for older guests and wheelchairs. In the afternoon heat, an air cooler or industrial fan per canopy makes a real difference.
