What do companies usually rent?

From the corporate jobs we handled in 2025 and 2026, three setups come up again and again:

• Staff dinners and annual dinners: round tables with cloths and gold chiavari chairs with seat pads. A learning centre in Mont Kiara booked 9 tables and 90 chairs for theirs.
• Open houses and festive gatherings: rustic tables with rattan or wooden crossback chairs. One open house on Jalan Ampang used 86 rattan chairs and 7 rustic tables.
• Launches, embassy receptions and outdoor brand events: white patio umbrellas, cocktail tables and a canopy for the registration or food area.

Larger functions go further. A single event in central KL in August 2026 took 305 wooden crossback chairs, set up by two crews.

Which venues can you set up at?

We set up in office car parks, building forecourts, condo function rooms, museums, embassies, hotel gardens and private homes. Most commercial buildings need a loading bay slot and a contractor pass, so share the venue’s rules when you request a quote and we will plan the delivery window around them.

How long does setup take?

Chairs and tables for 100 guests usually take one crew a couple of hours. Canopies take longer and are normally pitched the day before. For events in the evening, we agree a morning or early afternoon setup slot so the space is ready well before guests arrive.

What should you prepare before asking for a quote?

1. Event date, start and end time.
2. Venue address and any loading bay or access rules.

4. Indoor or outdoor, and whether you need shade or rain cover.

Shade, heat and rain

Outdoor company events in Malaysia need a plan for afternoon heat and evening showers. A 20×20 canopy covers about 40 seated guests, air coolers and industrial fans keep people comfortable, and side walls can be added if rain is forecast.
