Short answer: for a year-end dinner of 80 to 160 staff outdoors, most companies book two to four Arabian 20×20 canopies (each seats about 40 at round tables), gold or white chiavari chairs, buffet tables, one air cooler or industrial fan per canopy and a power supply for lighting and sound. Book 3 to 4 weeks ahead, because December evenings fill first.

Checklist

1. Canopies: Arabian transparent canopies look best at night with fairy lights and a chandelier. For more than 160 guests, consider a marquee.

3. Buffet: one 3×6 ft buffet table for every 25 to 30 guests, under its own canopy.
4. Cooling: December is humid. Plan an air cooler or industrial fan per canopy.
5. Power: lighting, sound and coolers need a safe supply. Tell us what the venue provides; a power fee may apply if we bring the supply.

Indoors in the office?

Many companies hold the dinner in a function room or lobby and rent only tables, chairs and table cloths. A keynote in Bandar Sunway took 220 folding chairs with a power supply and no canopy at all.
